1. Who we are
Fleet OS (“Fleet OS”, “we”, “us”) is a software platform for taxi and car-rental fleets (“Fleets”). It is operated by a company incorporated in the United Arab Emirates.
Contact for privacy questions and requests: ceo@fleetos.cc.
This policy explains how Fleet OS handles data it receives from Meta through the WhatsApp Business Platform, when a Fleet connects its WhatsApp Business account to Fleet OS.
2. Our role
A Fleet connects its own WhatsApp Business number to Fleet OS. Fleet OS then uses that number to talk to the Fleet’s drivers, leads and customers on the Fleet’s behalf.
The Fleet decides why and how the conversation data is used. The Fleet is the controller. Fleet OS processes the data on the Fleet’s behalf and on its instructions, as a processor or service provider.
If you are a driver or a lead who wrote to a Fleet, the Fleet’s own privacy notice also applies to you. You may contact the Fleet or us (see section 9).
3. Data we receive from Meta
Fleets connect their WhatsApp Business number to Fleet OS through Meta’s Embedded Signup. This includes coexistence mode, in which the Fleet keeps using the WhatsApp Business app on its phones. Fleet OS works through Meta’s official WhatsApp Business Platform. With the Fleet’s permission, Fleet OS can:
- connect the Fleet’s WhatsApp Business account and phone number, and receive its messages;
- create and manage the Fleet’s message templates;
- send and receive WhatsApp messages on the Fleet’s own number, on the Fleet’s behalf.
(In Meta’s terms, these are the
whatsapp_business_management and
whatsapp_business_messaging permissions.)
Through this connection we receive:
- Fleet business assets: WhatsApp Business Account ID, phone number ID, display phone number and verified business name, business portfolio ID, message templates and their review status, and an access token issued by Meta to Fleet OS. The token is stored encrypted.
- Messages with the Fleet’s contacts:
- the contact’s phone number and WhatsApp profile name;
- content of messages: text, images, documents, audio, location, button replies;
- message IDs, timestamps and delivery/read statuses;
- referral data when a person arrives from an ad.
- Messages the Fleet’s staff send from the WhatsApp Business app (“message echoes”), when the number is connected in coexistence mode. This lets the Fleet see the whole conversation in one place, including what its staff wrote.
- Chat history and contacts from the WhatsApp Business app, if the Fleet chooses to share them when it connects its number in coexistence mode: earlier conversations (up to the period Meta allows, currently about six months) and the contact names saved in the app. This gives the Fleet’s assistants the context of earlier conversations from the first day.
4. Why we use the data
We use this data only to provide the service the Fleet configured:
- automated (AI) replies to drivers and leads;
- scheduling office visits;
- sending reminders with Meta-approved templates;
- payment and debt follow-up;
- handing a conversation to the Fleet’s staff;
- recording results in the Fleet’s CRM;
- showing the Fleet its conversations, including earlier ones imported when the number was connected;
- keeping the service secure and fixing failures.
Automated replies. Replies may be generated by AI models on the Fleet’s behalf. The Fleet’s staff can take over a conversation. A person can ask the Fleet to talk to a human or to stop receiving messages; the Fleet is responsible for honouring such requests.
We use Meta Platform Data only as described in this policy and in accordance with the Meta Platform Terms. We do not sell it. We do not use it for advertising. We do not use it to build profiles of people for purposes unrelated to the Fleet’s service.
5. Who we share data with
We share data only as needed to provide the service. The recipients are:
| Recipient | Purpose |
|---|---|
| Meta Platforms (WhatsApp) | Delivering and receiving WhatsApp messages and managing templates |
| AI model providers: OpenAI, Anthropic, and OpenRouter (which routes requests to model providers) | Generating replies and extracting information from messages. The providers we engage do not use the data to train their models. If a Fleet connects its own AI provider account, that provider’s terms apply. |
| Infrastructure providers (data centres) | Running the platform and storing data |
| The Fleet’s CRM, when the Fleet connects it (for example Kommo or Bitrix24) | Recording leads, notes and results where the Fleet works |
| Authorities | When required by law |
6. Where data is stored, and for how long
- Data is stored in data centres of our infrastructure providers, which may be located outside your country. It may be transferred internationally to the providers listed above, with safeguards appropriate under applicable law.
- Data is kept while the Fleet uses Fleet OS. When the Fleet’s agreement ends, the Fleet can ask us within 30 days to return or delete its data. Without an instruction, we delete active copies within a further 30 days. Backup copies are deleted within 90 days after that. The exception is data we must keep by law.
7. Security
Access tokens are stored encrypted. Each Fleet’s data is kept separate, and every read and write is scoped to that Fleet. Access is limited to authorised staff on a need-to-know basis. Webhooks from Meta are verified by signature.
8. Your rights
Depending on where you live, you may have the right to:
- access your data;
- correct it;
- delete it;
- object to or restrict its use;
- receive a copy of it.
You may also complain to your data-protection authority, for example Peru’s Autoridad Nacional de Protección de Datos Personales, or the authority in your country.
9. Data deletion
If you are a driver, lead or other person who wrote to a Fleet on WhatsApp:
- Email ceo@fleetos.cc — Data deletion.
- Include the phone number you used and, if you know it, the Fleet’s name.
- We confirm receipt within 7 days.
- We pass the request to the Fleet, which controls your data, and delete your messages and related records from Fleet OS within 30 days, unless the law requires them to be kept.
- You can also ask the Fleet directly.
If you are a Fleet:
- You can disconnect WhatsApp at any time: remove Fleet OS’s access to your WhatsApp Business Account in Meta Business Settings, or ask us at ceo@fleetos.cc.
- Once access is removed, Fleet OS no longer receives messages from that number, and we delete the stored access token.
- To delete all your Fleet’s WhatsApp data, email ceo@fleetos.cc from an account owner’s address. We delete it within 30 days after confirming the request.
10. Children
Fleet OS is a business service and is not directed at children under 18.
11. Changes
We will post changes on this page and update the date at the top. Significant changes will be notified to Fleets in advance.
